How much should school management software cost a small private school
Per-student pricing, setup fees, modules sold separately: the sticker price is rarely the price. Here is how to read a quote, and what Scholar charges.

A quote for school software usually arrives as a single, reasonable-looking number. The number is reasonable because it is for 100 students, the basic plan, before setup, and before the parent app. By the time the school has what it actually needs, the figure has doubled and the board meeting that approved it is three months behind.
The problem in a Belize school day
Most school management products price per student per year. It sounds fair, and for a school of 2,000 it may be. For a school of 180, it means the price rises with every child you admit, and falls, which nobody mentions, when a family leaves. It also means the office has to think about the software bill when it should be thinking about the child.
Then there are the parts of the quote that are not in the quote. Setup and data migration, billed by the day. The parent portal as a separate module. WhatsApp messaging as a per-message charge. Payroll, if offered at all, as another product. Training. A minimum contract of two or three years, because the vendor knows switching is painful.
A fair comparison needs to put all of that on one line.
Ten questions to ask any vendor
- What is the price for our school next year if we grow by thirty children?
- Is setup included, and who enters our existing students and balances?
- Is the parent app or portal included, for every family?
- Are WhatsApp or SMS reminders included, or charged per message?
- Is payroll included, and does it calculate Belize SSB and income tax correctly?
- How long is the minimum contract, and what does leaving cost?
- Where is our data stored, and can we export it?
- Do our teachers need training days, and are they included?
- Is the school's own web address included?
- What is not included? Ask them to list it.
Write the answers in a column next to the quote. The number at the bottom is the real price.
How Scholar prices it
Scholar is one school, one price: BZ$250 per month, with unlimited students, teachers and parents, every feature included, and no long-term contract. That is the whole list, and it is written on the pricing section of the website so nobody has to ask.
"Every feature" means the things on the questions above. The parent portal, on the web and on the phone, for every family. Automatic WhatsApp payment reminders through the official platform, at no per-message charge from us. Payroll with Belize social security, income tax and pension worked out. Report cards, attendance, the gradebook, announcements and messages. Nightly backups, an audit log of every change, and the school's own address, such as yourschool.scholar.bz.
Setup is part of going live. We create the school with the nine Belize levels, the three terms and the standard subjects already in place, and the onboarding pack tells your office exactly what to send us and in what format. Most of the data arrives as the spreadsheet you already keep.
What to expect
A flat price has one honest downside: a very small school, say forty children, pays the same as a school of four hundred. For a school that size, it is worth doing the sum against per-student products; sometimes they come out cheaper on paper, before the modules and the setup days.
The upside is that the bill never surprises the board. Admit a child, the price does not move. Give every parent a login, the price does not move. Send a thousand reminders in a bad month, the price does not move.
There is one thing a flat price does not buy, and it is worth saying: Scholar does not collect fees online. Families pay at the school office, by cash, cheque, transfer or card, and the office records it. If a vendor's quote includes online payment, compare that line on its own merits, including the transaction fees families would carry.
